Medical Assistant provides
medical and dental offices with a complete solution for automating
Incoming Call Routing, Call Logging, Appointment Scheduling,
Appointment Confirmation, and Test Results
Appointment Scheduling:

Medical Assistant answers all incoming
calls and provides the caller with menu options, one of which is
Appointment Scheduling.

The caller is asked to enter their
telephone number for identification purposes. Callers using a
rotary phone are automatically transferred to a predefined
destination or extension.

Using the touch-tone telephone keypad,
callers enter a desired day and time for an appointment. The
system checks the availability of the requested time slot and
either verifies the selection or asks the caller to enter an
alternative time.

Medical Assistant logs the time that
the call was received and “schedules” the appointment.

Medical Assistant allows for the
blocking of certain times and also allows for setting holidays and
hours of operation.

Medical Assistant delivers the
schedule to a networked printer on demand, or automatically at
user defined intervals, such as every hour.
Appointment Reminder:

They system will automatically place
phone call reminders to patients at a user-defined time in advance
of their scheduled appointment.

When the scheduled patient answers the
call, he/she will be asked to accept the appointment, reschedule,
or request a cancellation, all via touch-tone entry. If the
patient desires to reschedule or cancel the appointment, Medical
Assistant handles this automatically. The patient is always
offered the opportunity to transfer to a nurse/doctor if desired.

Medical Assistant keeps call records
for the automatic Appointment Reminder. Each call record is noted
as “accepted”, “answering machine”, “rescheduled”, or
“transferred”.
Voice Messages:

Medical Assistant provides the
capability to create voice mailboxes.

Callers can leave messages in specific
nurse or doctor mailboxes.

Mailbox greetings can be recorded from
any telephone.

Staff with assigned mailboxes can
record greetings and retrieve messages from any telephone.
Test Result Reporting:

Medical Assistant provides quick,
secure, and effective test result reporting capability.

Callers to the system are prompted to
enter their social security number (and/or any other identifying
input).

After verification of the caller’s
identity, the system will provide the caller with a user defined
one-word test result.

The system asks callers to acknowledge
receipt of their test result. Callers are then given the option to
be transferred to pre-defined destination (nurse/doctor) extension
for further details.

For sensitive test results, callers
can automatically be transferred to a nurse/doctor for further
explanation.

Comprehensive records, including date
and time stamps are included on all call records. Generated
reports caninclude a listing of patients who have not yet received
their test results within a user-defined period of time.
Information/FAQ (Optional Module):

Medical Assistant can be used as an
informational tool by providing callers with pre-recorded
information about certain topics or by providing answers to
frequently asked questions.

This module can be used effectively to
describe certain medications, general dosages, known side effects,
etc., or any other information.

A menu can be structured allowing
callers to be guided easily to the information they desire.
